Privacy & Repair Data

This notice explains how Brum Appliance Clinic (“we”, “our”, “us”) collects and processes personal information when you contact or book a repair with us. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Data we collect

  • Contact details — name, phone number, email address, and service address to arrange visits.
  • Appliance information — brand, model numbers, fault descriptions, and photos if you choose to send them.
  • Administrative data — invoice records, payment references and service logs for our legal and tax duties.

2. How we use your data

We process this information solely to provide requested services, confirm bookings, maintain records, and communicate about follow-up visits. We do not sell or rent data. Where feedback is published, any identifying detail is removed unless you consent in writing.

3. Lawful basis for processing

Our lawful bases are:

  • Contract performance — to deliver and manage your requested repair.
  • Legal obligation — to retain invoices and service records.
  • Legitimate interest — to maintain efficient scheduling and quality control.
  • Consent — for optional marketing or testimonial use, which you may withdraw anytime.

4. Data storage and retention

Digital records are stored on UK-based servers with encryption and restricted access. Paper documents (such as signed job sheets) are kept in a locked cabinet and destroyed after six years unless required for ongoing warranty or insurance review.

5. Sharing of information

We share information only with:

  • Payment providers or accountants for financial processing.
  • Parts suppliers for delivery to your address when you request direct shipping.
  • Regulatory bodies if law requires disclosure.
No third-country transfers occur outside the UK without adequate protection under UK law.

6. Your rights

You may request access, correction, erasure, restriction, or data portability by contacting our Data Controller via [email protected]. You also have the right to object to processing based on legitimate interest and to withdraw consent at any time. Complaints may be lodged with the Information Commissioner’s Office (ICO) at www.ico.org.uk.

7. Cookies and analytics

We use minimal cookies for functional purposes and anonymous traffic insight. Details appear in our Cookie Preferences page (shortbread.html). No cross-site tracking or advertising pixels are employed.
